Your file's too big to email. Here's what actually shrinks it
The file that is too big to email is almost always a photo or a scan. Here is the one fix for each, and when to just send a link.

Your email bounced, or a form says the limit is 2 MB and your file is 5. Here is the short version. If it is a photo, make it smaller in pixels, which is the biggest win by far. If it is a PDF, the weight is almost always the images inside it. Zipping it barely helps. And if the file has to stay full quality, stop fighting it and send a link.

First, how big does it need to be?
There is no single limit. It depends on where the file is going, and the caps are far apart. Gmail takes 25 MB. Discord's free tier now takes 10 MB. Telegram takes two whole gigabytes. So the first move is not to shrink anything. It is to find the number you are actually up against.

The trap that catches people twice
A form can reject the same file for two different reasons: its size in kilobytes, and its dimensions in pixels. A passport or visa photo often has to sit under a strict kilobyte cap and hit an exact pixel size at once. Compress it hard enough to pass the first, and you can fail the second. When a form keeps refusing a file that looks small enough, read the rules again for a pixel size hiding next to the kilobyte one.
Zip is for bundling, not shrinking
The reflex fix is to zip the file. For a photo or a PDF, it does almost nothing. I zipped a real 3.8 MB PDF through the tool on this site, and it came out 120 bytes bigger, not smaller. A photo is no better: squeezed as hard as a zip tool can manage, a 3.9 MB one gives up nothing at all. A zip is worth reaching for when you have several separate files and want to send them as one tidy download. It groups things; it does not squeeze them.
If that is your case, you can bundle several PDFs into one zip, or turn a pile of photos into a single PDF to attach.
One big photo? Make it smaller in pixels
A photo from a recent phone holds more than 20 million pixels. No screen or inbox needs that many. The biggest lever is not the quality slider. It is the size in pixels.
Take a real phone photo of nearly 4 MB. Resize it so the long side is 1600 pixels, and it drops to about 100 KB while still looking sharp on any screen. That is the whole file cut by more than 95 percent, in one step.
The quality slider is the second tool, not the first. Reach for it when a form demands an exact size. Compress to a target like 500 KB and it hits it. But it keeps all those millions of pixels and softens each one, so the result looks worse than the resized copy that is far smaller. Resize first; compress only to hit a number. If a form rejects your iPhone photo as a .HEIC file, it just needs turning into a JPG first.

Screenshots and logos: don't turn them into JPEGs
For flat images, screenshots, logos, anything with text and solid colour, the advice "convert it to JPG to shrink it" is backwards. JPG is built for photos. On a flat image it blurs the edges and can make the file bigger.
A real screenshot on this site was a 76 KB PNG. Saved as a JPEG it grew to 105 KB and went fuzzy. Saved as WebP it dropped to 46 KB and stayed crisp. WebP is the right answer for this kind of image almost every time.
If a short screen clip is too big for a chat app, it is usually a video, not a GIF. A real GIF that is too heavy can be made smaller, but a video of the same thing will be smaller still.
A big PDF is almost always a stack of pictures
Here is the honest thing about PDFs. A whole text document is tiny. A real five-page text PDF on this site is 80 KB. So when a PDF is big, it is not the words. It is images. A scan is photographs of paper, and a brochure is mostly pictures, which is why "compress the text" misses the point.
That is also the awkward part. Shrinking a PDF means shrinking the images inside it, and no tool on this site does that yet. A PDF compressor elsewhere can, but most of them upload your file to a server to do the work. For a private document, that is the thing to avoid. So if you only need to beat a per-file cap, split the PDF into smaller pieces. If the document is not sensitive, a compressor is fine. Otherwise, send a link.
Splitting is worth one caution. It divides; it does not shrink. Pull two pages out of a five-page scan and you get a smaller piece, but the bytes did not leave. Add the pieces back up and it is the same size as before.
When to stop and send a link
Sometimes the right answer is not to shrink the file at all. If it has to stay full quality, a print-resolution photo or a large portfolio, squashing it to fit an inbox is the wrong trade. Share a link instead.
This is not a defeat, and the tools do it for you. Gmail turns anything over 25 MB into a Drive link on its own. Apple's Mail Drop sends up to 5 GB the same way. OneDrive and WeTransfer work like that too. The original stays intact, and the person on the other end just clicks through.
Which fix for your file
- Sending several files at once?
- Bundle them into one zip. That groups them into a single download; it does not make them smaller.
- One photo?
- Resize it to about 1600 px on the long side. This is the single biggest win, and it stays sharp on any screen.
- If a form demands an exact size, like under 500 KB, compress to that target afterwards.
- A screenshot or a logo?
- Save it as WebP. Turning it into a JPEG blurs the text and can make the file bigger.
- One big PDF?
- If it is a scan or full of images, the size is the pictures. Shrinking those is the only thing that shrinks the file.
- A PDF compressor can do that, but most upload your file to a server. For anything private, split it or share a link instead.
- Mostly text but still heavy? The weight is fonts or images, not the words, so share a link.
- Must it stay full quality, or is it still too big?
- Stop shrinking it. Send a link instead, and the original arrives untouched.

Why zipping a photo does nothing
A zip tool shrinks a file by finding repetition and writing it down once. A plain text file is full of repetition, so it squeezes well. A photo, a scan, or most PDFs were already squeezed when they were made, so there is no slack left to find. That is the whole reason zipping them changes nothing.
You can see it in the numbers. Squeezed hard, that 80 KB text PDF gives up about a fifth of its size, because text has slack. The 3.9 MB photo gives up nothing at all. And the zip tool here does not even try to compress. It only bundles, which is why it left both files the size they started.
Check whether it actually worked
The honest test is whether the number went down. On a phone, open the file and look at its details or info. On a computer, right-click it and choose Properties or Get Info. Note the size, do the fix, and check the size again. If it did not move, you used the wrong lever for that file, and the picture above points at the right one.
